What membership management is
Membership management is the handling of a member's relationship with an operator across its whole life. It starts at joining, continues through recurring billing, holds and suspensions, governs what the member is entitled to access, and ends at renewal or cancellation. It is more than a list of names: a membership is a living arrangement, and managing it well means keeping the billing, the entitlements and the access all consistent as the member's circumstances change.
The detail is where membership management gets demanding. A member goes on hold for a month, downgrades a plan, adds a family member, or lets a payment fail and needs to be followed up. Each of those events touches billing and access at the same time. If the billing system and the access system are separate, the two can disagree, so a member who has stopped paying still gets in, or a paid-up member is turned away. Keeping entitlement and entry in step is the practical test of membership management.
Membership management in the Cohiva platform
Cohiva Complex is the management product for aquatic and leisure facilities. It covers memberships, bookings, point of sale and access control in one place, so the membership, its direct debit billing and the access at the gate are part of one record rather than separate systems that have to be reconciled.
Because Complex shares one data layer with the suite, membership revenue also flows into Crunch for finance without a manual export. For multi-site operators, that keeps entitlement, billing and entry in step across venues. To see how it works, explore Complex or read the health clubs solution.
